# What is an AI receptionist, and how does it work?

An AI receptionist is software that answers your business phone with a natural voice. It greets callers with your business name, answers common questions, asks your intake questions, books appointments into your calendar, transfers urgent calls to a person and sends you a text or email summary of every call. It works 24/7 and can take several calls at once.

## How a call works, step by step

- The call is forwarded: You keep your number. Calls you choose (missed, after-hours or all) forward to the agent's line.
- The agent answers and listens: Speech recognition turns the caller's words into text, a language model decides what to say, and a synthetic voice speaks the reply. This happens in about a second.
- It follows your script: Your services, service area, hours, prices you allow, questions to ask and emergency rules. It does not make up policies you did not give it.
- It takes action: Books the visit in your calendar, takes a message, or transfers the call to your cell when it matches your emergency rules.
- You get a summary: Right after the call: who called, what they need, the address and what was promised.

**Does an AI receptionist actually work?**

For routine calls (bookings, prices you allow, hours, service area, messages) it works well when the script is written for your business and tested on real calls. It is weaker on unusual requests that need judgement, so those should be transferred to a person.
